Administrative & Bookkeeping Coordinator

As a national immigrant youth-led organization, the United We Dream Network’s (UWD)’s mission is to achieve equal access to higher education for all people, regardless of immigration status. We aim to address the inequities and obstacles faced by immigrant youth and to develop a sustainable, grassroots movement led by immigrant youth, documented and undocumented, and children of immigrants. We use leadership development, organizing, policy advocacy, alliance building, training, and capacity-building to pursue our mission at the local, state, and national levels.

UWD seeks to build power through local, regional, and national convening and leadership development opportunities; to provide the tools and resources to immigrant youth leaders to organize and grow their movements at every level; to create meaningful alliances with other national immigrant and education rights organizations and ensure there is a voice for immigrant youth at the national level; to strengthen affiliate organizations of UWD; and to support emerging groups and provide capacity where organizing is needed but nonexistent.

This position includes full benefits as provided by the National Immigration Law Center (NILC), the fiscal sponsor for UWD. The Administrative and Bookkeeping Coordinator will be an employee of NILC working for UWD. Organization policies and benefits packages are subject to change during annual open enrollment at NILC and/or when this position transitions to employment directly by UWD. This position is based in New York.

Position Summary

The ideal candidate for Administrative and Bookkeeping Coordinator is deeply committed to immigrant youth-led organizing; movement-building; positive and innovative organizational culture, team-building; and racial, economic, and gender justice values. The ideal candidate will also be an effective communicator and comfortable with taking initiative.

Administrative Responsibilities

  • Provide executive/administrative support to Managing Director and staff;
  • Coordinate day-to-day operations, including calls, scheduling meetings, booking travel, purchases, ordering of supplies and maintenance of filing systems;
  • Coordinate communication among UWD leadership and staff, organizing meetings and conference calls, calendar maintenance, and recording meeting minutes;
  • Develop and maintain office and administrative systems and procedural manuals;
  • Assist Managing Director to track contractor, vendor, and lease agreements;
  • Coordinate Board, NCC, and staff meetings and retreats and general event planning;
  • Provide support to board members, including scheduling board meetings, making all logistical arrangements, collecting and organizing information for the meetings, taking minutes, and keeping board files;
  • Coordinate volunteers; and,
  • Other duties as assigned.

Bookkeeping Responsibilities

  • Work with fiscal sponsor to keep up to date financial records using QuickBooks;
  • Track cash inflows and outflow;
  • Manage accounts payable and receivable;
  • Process and track invoices and payments;
  • Assist with the preparation of financial reports as necessary for the Board, staff, and grant proposals;
  • Assist Managing Director to generate organizational sustainability and fiscal forecasting reports;
  • Reconcile financial records with fiscal sponsor; and,
  • Other duties as assigned.

Minimum Requirements

  • Bachelor’s degree plus 1 to 2 years administrative and bookkeeping experience or 4 years solid administrative/support role and bookkeeping experience required; and,
  • Proficiency in Microsoft Office and QuickBooks.

Preferred

  • Bookkeeping experience in the non-profit sector;
  • Prior experience in a youth or social justice organization;
  • Knowledge of immigrant rights and youth issues;
  • 2 years of payroll experience; and,
  • Ability to communicate effectively and fluently (written and verbal) in Spanish or other languages.

  • Ability to work well with different levels of management and staff, as well as organization’s members and vendors;
  • Detail-oriented with demonstrated ability to manage multiple projects simultaneously;
  • Ability to build and maintain positive working relationships, especially with volunteers;
  • Strong event planning skills;
  • An entrepreneurial mindset for a start-up non-profit environment.
